Most bookings take two or three rounds of messages because the first enquiry is missing something. Here's how to do it in one.
Have these eight things ready
- Date. With the year. "Next Saturday" causes more problems than you'd think.
- Pickup time and address. The full address, not the venue name. Hotel? Say which entrance.
- Headcount. Realistic, not aspirational. Then read the sizing guide.
- Every stop, in order. Addresses where you have them.
- End time and drop-off address. If it's different from the pickup, say so — it affects routing.
- Occasion. A wedding shuttle, a bachelor crawl and a corporate transfer are run differently — see the full list and name the closest one.
- Anything unusual. Wheelchair access, a cake, luggage, a photographer meeting you, minors aboard, a hard deadline like a dinner reservation or a kickoff.
- Whether alcohol will be aboard. This determines the age rules that apply — see the rules page.
If there's a fixed time you must arrive somewhere — a ceremony, a reservation, a kickoff — say it in the first message. It changes pickup time, route and the number of hours we'll tell you to book. It's the single most useful sentence in an enquiry.
Nine questions worth asking any operator
- What's the total, including every fee and gratuity, for my date and hours?
- Is the service fee included in that number or added later?
- What's the hourly minimum for my specific date?
- What's the overage rate if we run long?
- What's the deposit, and when is the balance due?
- What's the cancellation policy and the cutoff date?
- What happens if the vehicle breaks down — do you have a backup?
- Are you licensed and insured, and can I see the credentials? (How to verify this yourself.)
- Which specific vehicle am I getting, and can I see photos of that one?
Question 7 is the one nobody asks and everybody should. Vehicles break. What matters is whether the operator has a plan when it happens — ours is covered in how we run the company.

Get it in writing
Before you pay anything, your confirmation should state: date, pickup time and address, hours booked, vehicle assigned, total cost with every fee, deposit paid and balance due, cancellation terms, and the overage rate.
If any of those are missing, ask for them in writing. A reputable operator will send them without hesitating. That request is also a useful test — how a company handles it tells you a lot about how they'll handle a problem on the night.

How far in advance should I book a party bus?
Three to four weeks for an ordinary weekend, one to two weeks for a weeknight, and three to four months for a peak date like SXSW, ACL, F1 weekend or New Year's Eve.
